How the staff app handles your information

What the app records, when it records it, who can see it, and how long it is kept.

The Kapsha Staff app is an internal tool for employees of Kapsha Constructions Pvt. Ltd. It records attendance, carries the work assigned to you, and shows your performance and reward points. It is not available to the public and cannot be used without an account created by the company.

Who holds your information

Kapsha Constructions Pvt. Ltd. decides what is collected and how it is used. The app and the system behind it were built and are maintained by 5GENTECH on the company's instructions.

What the app records

Your details
Entered by the company when your account is created
Name, employee code, mobile number, department, designation and plant. Your mobile number is how you sign in.
Location
Only as you punch in or out, or check in at a client site
Records where attendance was marked. Converted to a street address on your own phone so the record is readable.
Photographs
Taken by you when punching, and when attaching proof to a task
Confirms attendance was marked by you rather than someone else, and evidences completed work.
Attendance and work
As you use the app
Hours, leave, tasks closed and points earned. Used for payroll, performance and rewards.
Notification token
When you allow notifications
An identifier for your handset, so alerts about assigned work reach the right phone.

Location is read only in the seconds after you press the punch button. There is no background tracking, no record of where you go between punches, and nothing at all is recorded while the app is closed.

What it does not record

  • Your contacts, messages, call history or other apps
  • Your location at any time other than the moment you punch
  • Browsing activity or anything outside this app
  • Payment or bank details

Who can see it

Your records are visible to you, and to authorised people at Kapsha Constructions — your department head, the HR team and company management — for attendance, payroll and performance purposes.

Nothing is sold, rented or shared for advertising. Information leaves the company only in these cases.

  • WhatsApp messages. Notifications are delivered through a messaging provider, which handles your mobile number and the text of the message in order to deliver it.
  • Push notifications. Delivered through Expo and Google Firebase Cloud Messaging, which handle the notification text and a device identifier.
  • Where the law requires it, or to establish or defend a legal claim.

Where it is kept, and for how long

Data is held on a private server operated for Kapsha Constructions. Connections between the app and the server are encrypted.

60 days
Attendance photographs, then deleted automatically. The times and location stay, because payroll rests on them.
As required
Attendance, performance and payroll records, kept for the period employment law requires.
On leaving
Your account is deactivated. Historical records remain as part of the company's employment records.

What you can do

Withdraw a permission

Camera, location and notification permissions can be refused or withdrawn at any time in your phone's settings. Without camera or location you cannot mark attendance through the app, and will need your supervisor to record it instead.

See your own records

Your attendance, points and performance are visible to you inside the app at any time.

Correct a record

If an attendance record is wrong, raise a correction from the app and it goes to your supervisor. The original entry is never altered — an approved correction sits alongside it, showing who approved the change and why.

Delete your account

Under Me → Delete my account in the app, or by asking HR. Your mobile number, email address and photographs are removed and you can no longer sign in. Attendance and payroll records are kept for the period the law requires, because they relate to wages already paid.

Children

The app is for employees only and is not intended for anyone under 18.

Changes

If this policy changes, the date on this page is updated. Significant changes are communicated through the app.
